NML Trading Ltd is currently recruiting for a Personal Assistant who will be responsible for providing timely and effective  administrative support to the Director of Commercial & Business Development (DoCBD) and the Commercial and Business Development Senior Leadership Team (CBDSLT), particularly in the planning of the DoCBD’s diary, financial management administration, preparation and briefings/minutes for meetings both within and outside Commercial and Business Development.

Experience

To thrive in this role you will have proven administration experience, exceptional organisational, communication and people skills deployable in a multi-site environment. You will ideally hold a business administration qualification and have experience working in a fast paced commercial environment.

Job Description

To provide timely and effective administrative support to the  Director of Commercial and Business Development(DoCBD) and the Commercial and Business Development Senior Leadership Team (CBDSLT), particularly in the planning of the DoCBD’s diary, financial management administration, preparation and briefings/minutes for meetings both within and outside Commercial and Business Development.

Main Duties

Reporting to the Head of Company Services you will be required to:

To co-ordinate the work of the DoCBD, ensuring there is a two way flow of communication and that all documentation is produced accurately and in a consistent fashion.

To be responsible for ensuring the DoCBD is adequately and effectively equipped to fulfil the wide ranging duties that arise and ensure the time available is optimised.

To provide an essential operational link, connecting the DoCBD to the Executive Team of NML, CBDSLT and the CBD Leadership Team (CBDLT). The post holder will be expected to provide support to meetings at the highest level in the organisation.

Prepare minutes and action plans from written and recorded notes and circulate along with agendas, in a timely manner, in advance of meetings.

Facilitate meetings on behalf of CBDSLT including meeting and welcoming guests, providing refreshments and organising hospitality when requested.

To provide financial administration support to the DoCBD and CBDSLT. Including the production of spreadsheets and management of financial records. Maintain office supplies in accordance with CBD procurement policy.

Manage DoCBD and CBDSLT expenses and travel arrangements. This will be carried out whilst adhering to CBD’s Credit Card and Expenses policies.

To provide an administrative service to DoCBD and CBDSLT, including dealing with routine incoming correspondence by post and email, telephone, web and personal enquiries.

Maintaining liaison between DoCBD and staff throughout CBD through the management of full staff briefings and “Meet the DoCBD” sessions.

To provide daily point of contact for CBDSLT.

To work with the DoCBD and CBDSLT to ensure that communication systems within CBD are working effectively and identify/resolve areas of concern.

To contribute, as part of a team, to the efficient running of CBD and the delivery of services at all times.

Assist in the development of CBD’s commitment to Equality and Diversity and promote non discriminatory practices in all aspects of work undertaken.

Adhere to CBD’s Health and Safety policies and procedures, National Museums Liverpool’s access and Safeguarding policy as well as other appropriate practices and guidelines.

Undertake additional duties, as required, from time to time.

Undertake training and development courses and programmes, as required.

Show the highest level of integrity and confidentiality in the pursuance of these duties.
