Fundraising Officer, Liverpool Biennial

SALARY: £22,954 and £25,140 depending on experience

CONTRACT: Full-time, permanent

We are looking for an enthusiastic and energetic Fundraising Officer to support the Liverpool Biennial team with their fundraising, corporate partnerships, and commercial income goals. You will also support the team with event management and keeping the contact database up to date. You will have a keen interest in visual arts and be able to communicate easily in writing and verbally with all our partners.

MAIN DUTIES:

Fundraising Planning and Delivery

  • Assist with the delivery of the Biennial’s fundraising strategy, plans and targets
  • Steward relationships with existing and potential supporters: sponsors and corporate partners, individual and organisational donors, trusts & foundations, and international agencies.
  • Support the delivery of supporter benefits and in-kind partnerships.
  • Work with the Director of Development, Marketing and Communications and the Development Manager to produce approaches to prospective supporters, including funding applications, corporate proposals, benefit packages and support materials for bids.

Managing Relationships with Key Contacts

  • Ensure that all enquiries made in person, by telephone, e-mail, or in writing are handled professionally, courteously, promptly, and effectively.
  • Help expand the network of funding prospects and VIP contacts and ensure they are appropriately engaged with.
  • Support positive relationships with supporters, offering exceptional levels of stewardship, and ensuring grant claims, donor crediting, and reporting are delivered effectively and on time.
  • Create and develop new relationships and maintaining existing relationships between the Biennial and a variety of interest groups.
  • Support the delivery of a programme of regular communications with supporters, devising content, overseeing mailings / e-newsletters, and managing any design and print, working with the Digital Content and Marketing Officer.
  • Liaise with colleagues to prepare proposals and to contribute to internal and external evaluation and reports, ensuring they are completed in a timely manner.

Commercial

  • Manage sales of limited editions, Biennial publications and merchandise online and in-person, overseeing marketing, payments, high quality packing and dispatch, and ensuring excellent customer service.

Managing Events

  • Plan, organise and deliver, in conjunction with the Development team, a programme of cultivation and stewardship events and tours for existing and prospective supporters. This includes supporting the team with developing event ideas, building guest lists and managing invitations and replies, and managing the event ‘on the day’. Events might be online or in-person, and include visits, tours, trips, lunches, launches, receptions, or dinners.
  • Organise events for partners, current and prospective corporate and individual supporters, artists and other key Liverpool Biennial contacts
  • Create guest lists with briefing notes for Director and Director of Development, Marketing and Communications
  • Manage supporter cultivation events including dinners, receptions, breakfasts, talks and hospitality events
  • Ensure post event follow up, including thank you letters or calls are assigned
  • Manage logistical arrangements for key visitors.
  • Support sales of Liverpool Biennial limited editions and merchandise at events

General and Administration

  • Maintain and update the Customer Relationship Management (CRM) database, ensuring the effective and secure administration of contact records and activity logs, and use of the system across the whole organisation.
  • Enter, maintain, and update contacts on the Liverpool Biennial database. Ensure monthly data health checks are carried out.
  • Undertake prospect and donor research and record findings accurately in the CRM.
  • Work with Finance colleagues to ensure financial records are accurate and consolidated on a monthly basis.
  • Contribute to written material and reports for partners, funders, sponsors and stakeholders
  • Work within the context of the Biennial’s Equality & Diversity, Environmental Sustainability and other policies, in the planning and delivery of services and the treatment of employees, colleagues and others
  • Collate evaluation data from festival venues
  • Monitor the events inboxes (RSVP, Tours, Shop)
  • Write post event evaluation reports
  • Processing of sales of Liverpool Biennial limited editions and merchandise
  • There may be other duties during the festival period that will be required in line with the level and nature of this role
  • Other duties as required commensurate with the level and nature of the role

Internal and External Lines of Communication 

  • Attend staff and team meetings
  • Attend regular Development, Marketing & Communications meetings
  • This is an outward facing role, requiring attendance at networking events and developing lines of communication with current and potential supporters
  • Weekly work planning and review meeting with line manager

Training and Personal Development 

The Fundraising Officer is expected to fully participate in:

  • Staff development
  • Training opportunities which are made available for all staff as well as those identified as being post specific through the appraisal process.
